The Darvel FC 1889 Sports trust SCIO (the 'Charity') is committed to protecting the privacy and personal data of all its members, volunteers, facility users, and staff. We will process all personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Lawful Basis and Purpose of Processing
The Charity will only collect and process personal data that is necessary, relevant, and adequate for the stated purposes of operating a community sports charity. Our primary lawful basis for processing will be Legitimate Interests (to administer the club and facilities) and Contract (for season ticket holders, facility hire agreements, and employment contracts).
Data will be processed for the following purposes:
- Membership & Administration: To manage membership records, collect fees, issue season tickets, and communicate essential club and charity information.
- Facility Management: To manage bookings, coordinate maintenance, and ensure the safe use of the pitch and hospitality areas.
- Welfare & Safety: To maintain records of emergency contact details and any relevant medical information (with explicit consent) necessary to protect the vital interests of users during sporting and community activities.
- Charity Governance: To comply with legal obligations (e.g., maintaining a register of members, filing accounts) and to manage employees and volunteers.
Governance and Access
All individuals whose data is processed will have the right to be informed, to access, rectify, or request the erasure of their personal data, as outlined in our full Privacy Notice. The Charity's Trustees are responsible for overseeing data protection compliance, and a dedicated individual will be appointed to manage and respond to data protection enquiries.
